About The Position

The ExecutiveCoordinator is the administrative and operational anchor of the EnterpriseProject Management Office. Working directly alongside the Head of the EPMO, youwill ensure the department operates with absolute precision. This role goes farbeyond standard administration; it requires active facilitation of high-levelgovernance, meticulous documentation of strategic decisions, and the tenacityto drive accountability across senior stakeholders.

What You'll Do

  • Provide comprehensive executive support to the Head of the EPMO, including calendar management and drafting critical internal communications
  • Coordinate, schedule, and assist in facilitating high-level EPMO and steering committee meetings
  • Serve as the official record-keeper, capturing highly accurate, concise, and actionable meeting minutes on behalf of EPMO leadership
  • Relentlessly track follow-ups and action items, engaging with line managers and stakeholders to ensure deadlines are met
  • Manage and standardize the EPMO’s digital workspace, ensuring all project repositories, templates, and core documentation are organized and accessible

What You Bring

  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • 3–5+ years of proven experience in an executive support, senior administrative, or PMO coordination role
  • Exceptional active listening and typing skills, capable of synthesizing complex strategic debates into clear minutes and action items
  • Assertive yet highly diplomatic communication style, with the confidence to follow up with senior stakeholders
  • Unquestionable discretion and professionalism when handling sensitive organizational data

Nice To Have

  • Familiarity with project management lifecycles and standard PMO governance structures
  • Experience supporting C-level executives or department heads

Technical Skills

  • Advanced proficiency in modern office suites (Google Workspace and/or Microsoft Office Suite)
  • Expertise in virtual meeting and collaboration platforms (Teams, Zoom, Google Meet)
  • Basic proficiency in project tracking and task management software (e.g., Jira, Asana, Trello) to monitor action items
