About The Position

We are looking for a highly organized Legal Documentation & Archiving Officer to establish and manage a centralized repository for all company legal documents across departments. This role focuses on structuring, maintaining, tracking, and safeguarding legal records (contracts, NDAs, agreements, etc.) while ensuring accessibility, version control, and compliance with internal policies. The position plays a critical role in bringing visibility, consistency, and control over all legal documentation within the organization.

What You'll Do

  • Build and manage a centralized legal document repository covering all entities and departments
  • Classify, index, and archive legal documents (NDAs, contracts, service agreements, leases, letters, etc.)
  • Ensure proper version control, naming conventions, and document standardization
  • Track key contract data (dates, renewals, expirations, obligations)
  • Monitor deadlines (renewals, terminations, notice periods) and alert relevant stakeholders
  • Control access rights and ensure confidentiality of sensitive documents
  • Coordinate with all departments to collect and update documentation
  • Develop and enforce document management policies and procedures
  • Continuously improve archiving systems and workflows

What You Bring

  • Bachelor’s degree in Law, Business Administration, or a related field
  • 1-3 years of experience in document control, records management, legal archiving, or contracts -administration
  • Strong organizational and structuring skills
  • High attention to detail and accuracy
  • Ability to manage large volumes of documents systematically
  • Strong sense of confidentiality and data protection
  • Good communication skills to coordinate across department

Nice To Have

  • Experience setting up document management or archiving systems from scratch
  • Familiarity with compliance, audit, or risk management processes
  • Experience in multi-entity or group company structures
  • Knowledge of contract lifecycle tracking

Technical Skills

  • Strong proficiency in Microsoft Excel (tracking, logs, dashboards)
  • Advanced use of Microsoft Word for document structuring
  • Experience with document management systems (e.g., SharePoint, Google Drive with structured permissions, or similar)
  • Basic understanding of access control and data security practices
